Plan the migration — do not rush
Four phases: set up the new platform, migrate historical emails while the old system stays live, update DNS records, decommission the old server. Both systems run simultaneously — no email is lost.
Choose your migration method
IMAP migration: use Microsoft's Exchange Admin Centre import tool or Google Workspace Migration. Migrates all email and folders while both servers run. Cutover migration: migrate all mailboxes simultaneously during a maintenance window.
Reduce DNS TTL before the cutover
At least 48 hours before cutover: lower your domain's MX record TTL from 3600 to 300 seconds. This ensures DNS changes propagate within 5–10 minutes on cutover day.
Update MX records on cutover day
Once all historical email is migrated: update the MX record in your domain DNS to point to the new server. New emails begin arriving within minutes.
Reconfigure all client devices
Each staff member's Outlook, Apple Mail, phone and tablet needs reconfiguring to the new server. For Microsoft 365: File → Add Account → sign in with Microsoft 365 credentials.
Verify, test and document
After cutover: send test emails from external addresses. Verify all staff can send and receive. Monitor for 48 hours.
