Outlook not downloading new emails is almost always a sync, connectivity or account configuration issue. Here are the fixes in order of likelihood.
Common causes:
- Outlook is in Work Offline mode — most common
- A send/receive error or connectivity issue
- Inbox rules diverting emails to another folder
- Exchange account needs re-authentication
- Corrupted Outlook profile or data file
Check Work Offline mode
Send/Receive tab in ribbon → if Work Offline is highlighted, click it to deactivate. This is the most common cause.
Force a manual send/receive
Press F9 or Send/Receive → Send/Receive All Folders. Note any error message exactly — it identifies the specific problem.
Check Junk Email and other folders
New emails may be in Junk Email, Focused/Other tabs, or a custom inbox rule folder.
Re-enter your account password
File → Account Settings → select account → Change. If your password recently changed, Outlook silently stops receiving.
Repair the Outlook data file
File → Account Settings → Data Files tab. Note the .pst or .ost file location. Close Outlook. Find and run SCANPST.EXE against your data file.
Remove and re-add the email account
File → Account Settings → select account → Remove. Restart Outlook. Add the account again via File → Add Account.
When to call a technician
If Outlook is part of a business Microsoft 365 setup and email stopped across multiple users, the issue may be at the Exchange/tenant level. TechFix Pro handles Microsoft 365 troubleshooting for Western Sydney businesses.
Frequently asked questions
Why did Outlook suddenly stop receiving emails?
Usually Work Offline mode was accidentally activated, password was changed without updating Outlook, or the mailbox storage quota is full.
How do I check if my mailbox is full?
Right-click Inbox → Properties → Folder Size. Or log in via outlook.office.com — it shows storage usage clearly.
Why is Outlook receiving some emails but not all?
Inbox rules diverting certain emails, the Focused/Other inbox split, or spam filter settings. Check your inbox rules under Home → Rules → Manage Rules & Alerts.
