The Situation

A small accounting practice in Western Sydney had been running email through an ageing on-premise server for over 10 years. The server was reaching end of life, maintenance costs were increasing, and the practice had no backup of their email — five years of client correspondence, contracts and records existed only on that one server. A failed hard drive would have been catastrophic. The decision to move to Microsoft 365 was made — the challenge was doing it without disrupting the practice's operations.

What We Found On Assessment

The server was running an old version of Microsoft Exchange that Microsoft had ended support for two years prior. There were 6 user mailboxes totalling approximately 120GB of email data. The oldest emails dated back 11 years. The DNS records for the domain were correct but had not been reviewed in years. The current email system had no spam filtering — the staff were manually deleting 30–50 spam emails per day per person. The migration needed to happen without any email being lost and without any period where the practice could not send or receive email.

How We Did It

**Phase 1 — Microsoft 365 tenancy setup (Day 1):** Microsoft 365 Business Standard licences provisioned for all 6 users. New user accounts created. Domain verified in Microsoft 365 admin portal. DNS prepared but not yet switched. **Phase 2 — Migration (Days 1–3):** Using Microsoft's IMAP migration tool, all 11 years of email migrated from the old server to the new Microsoft 365 mailboxes while both systems ran simultaneously. Staff continued working on the old system while the migration ran in the background. **Phase 3 — Cutover (Day 3 evening):** DNS MX records switched to Microsoft 365. New email began arriving in Microsoft 365 mailboxes. Old system kept running in receive-only mode for 48 hours to catch any in-flight emails. **Phase 4 — Cleanup (Day 5):** Outlook configured on all devices. Mobile devices updated. Old server decommissioned. Spam filter rules configured (Microsoft 365 Defender). **Result:** Zero emails lost. Zero minutes of downtime. Staff arrived to work on Day 4 to find their email in Microsoft 365 with 11 years of history intact.

The Outcome

The ageing server was decommissioned and removed. All 11 years of email preserved in Microsoft 365 with redundant cloud backup. The practice now has professional spam filtering, mobile access, calendar sharing and 1TB of cloud storage per user — for less than the annual server maintenance cost.
