TechFix Pro Managed onboarding follows a structured 30-day process: discovery and documentation in week one, security baseline and monitoring deployment in week two, backup implementation and testing in week three, and staff introduction, handover and the first review in week four. Led by our Sydney-based team (0434 358 263). Designed to be invisible to your day-to-day operations.
The biggest worry business owners have about switching IT providers is disruption — will it break things, will staff be confused, will there be a gap in cover. Onboarding is designed so that none of that happens. Nothing is switched off until its replacement is working. Staff are told what's changing before it changes. And your previous setup is documented before we touch it.
What's included
Week 1 — Discovery & documentation
We inventory every device, user, licence, application, network component and vendor. We collect existing passwords and access (securely), photograph the network cupboard, and document how everything is currently configured. If your previous provider is handing over, we manage that conversation. Output: a complete picture of your IT before any changes.
Week 2 — Security baseline & monitoring
Monitoring agents deployed to every device. Endpoint protection installed and configured. MFA enforced across Microsoft 365 with conditional access policies. Admin rights reviewed and reduced. Email security configured. Critical patches applied. Output: the biggest risks closed, and eyes on everything.
Week 3 — Backup & continuity
Microsoft 365 backup implemented and first full backup completed. Server and workstation backup deployed. Immutable offsite copies configured. First test restore performed and documented. Recovery plan drafted. Output: you're recoverable, and we've proven it.
Week 4 — Handover & first review
Staff introduced to the helpdesk — how to contact us, what to expect, a short session if useful. Documentation finalised in the secure portal. First review meeting: what we found, what we fixed, what's next. Output: business as usual, with a team behind it.
Ongoing — Business as usual
Monitoring runs. Patches deploy. Helpdesk answers. Backups test. Regular reviews happen. Nothing surprising, which is the whole point.
Example tools we work with
Discovery via network scanning tools (Domotz, Auvik) and the RMM agent; documentation in Hudu or IT Glue; password handover via Keeper or 1Password secure sharing; staff introduction via a short Teams session and a one-page 'how to get help' guide.
Selection depends on your environment and risk profile. We're not tied to a single vendor.
Common questions
Will onboarding disrupt our business?
It's designed not to. Agent deployment and security changes are scheduled outside busy periods. Nothing is decommissioned until its replacement is confirmed working. Staff are told in advance about anything that affects them (mainly: MFA setup). Most clients notice onboarding only because things start working better.
What if we're leaving another IT provider?
Common, and usually straightforward. We'll ask you to notify them, then we manage the handover — collecting documentation, credentials and access. If they're uncooperative, we work around it; it takes a little longer but it's never blocked us. We'll also make sure their remote access tools are fully removed.
Do we need to be involved?
A few hours across the month: an initial discovery conversation, sign-off on the security changes, a short staff introduction, and the week-four review. We handle the rest.
What does the documentation look like?
A secure client portal with every device, user, licence, application, vendor contact, network diagram, password (encrypted) and procedure. You have access to it. If you ever leave, it's yours — we don't hold documentation hostage.
What happens in the review meetings?
Plain English. What happened, what we fixed, what's ageing out, what's coming up, what you should be thinking about. Any recommendations are explained with the reasoning, not just the price. No slide decks.
